Reports Overview

WODTogether's reports are key to unlocking the full power of the platform. Familiarizing yourself with the reports and learning to tweak settings will allow you to access valuable data and make informed, impactful decisions. This overview aims to give you some direction on how to best use the various reports to that end.

The above screenshot highlights 6 areas that are common to many of the reports in WODTogether. Below is a brief breakdown of each highlighted feature.

  1. If a report has options, like a date range, this button will show the options and allow you to change those options.
  2. The "More Details" button shows additional statistics or data about the current report.
  3. The search box is a super useful filter for our data tables. You can type a name, product, date, (basically anything that you see in any column) to filter the table to that text.  
  4. Most reports allow you to select rows, and when you click the "Get Emails" button, you will capture all email addresses for users on selected rows. This is a great way to send an emails to a subset of your users (perhaps after filtering your table to the desired data).
  5. Much like the email address feature, you can select any number of rows and export those rows' data to a CSV file (spreadsheet). CSV files can then be opened in any text editor, Microsoft Excel, or most any other spreadsheet program.
  6. The reports pull-down is how you select a different report to view.  The reports are grouped into categories: Financial, Attendance, Members, Staff, Business and Fitness.

The above screenshot highlights 7 areas of the data table that are common to almost every report in WODTogether.  Below is a brief breakdown of each of these 7 areas.

  1. This toggle button will hide all unchecked rows and then when clicked again will display all rows again (maintaining the rows that were checked).  This behavior is useful for when filtering can't eliminate all rows that you need, you can manually check or uncheck rows and then hide all unchecked rows.
  2. This checkbox in the header row will check or uncheck all rows in the current data table.  If the table is unfiltered, it will select all rows of data.  If the table is currently filtered, checking this will select only filtered data set only. Many times you will find you'll need to filter the table, select all those rows and then grab email addresses or dump the selected rows to CSV.
  3. This checkbox selects or unselects a single row of data.
  4. Many reports have a button with the magnifying glass icon. Pressing this button will take you to the order page for the particular order. Pro tip - right click to open the order info in a new tab or window so that you don't lose your current report's filtering and settings.
  5. The lightning bolt icon is common to many reports.  Clicking it will popup a window allowing you to apply (or remove) user tags to a particular user, write a quick coaches note for that user, or access the user's full editor to update their account settings.
  6. Any user tags that are applied to the user will be displayed under the user's name and email address. User tagging is a powerful way to create groups of users that you can later filter reports on.  Some examples of tags that you might find useful are shirt sizes, police, military, pregnant, injured, do they play on your softball team, are they a cf kids member, are they on a couples plan...the uses are endless and are defined by you. Hint: You can create your own tags in Coaches Dashboard > Gym Settings > User Tags
  7. You can click on a column header to sort the table by that column.  Clicking once will sort in ascending order, clicking again will sort it in descending order.

 

Completed Payments Report

What does it show - This report shows you all completed shop transactions at your gym over the selected time period.

Default setting - By default all transactions from the current month are displayed.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.

More Details - Clicking the more details button will display your total sales, as well as breaking it down by shop category and by payment method.

Pending Payments Report

What does it show - This report shows you all pending shop transactions at your gym over the selected time period.

Default setting - By default all pending transactions from the current month are displayed.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.

More Details - Clicking the more details button will display your pending transactions, breaking it down by product, shop category, and date scheduled.

Failed Payments Report

What does it show - This report shows you all orders that failed.  You should keep this list short by following up with users to get them to put a new card on file and mark old uncollectible orders as resolved to remove them from this report.

Default setting - By default all failed transactions are displayed.

Options - none.

Frozen Payments Report

What does it show - This report shows you all frozen orders.  A frozen order is a past order that was marked as frozen so that it wouldn't process.  These payments can be unfrozen at a later time, perhaps when the member returns from a break away from the gym.

Default setting - By default all frozen orders are displayed.

Options - none.

Refunded Payments Report

What does it show - This report shows you all orders that were refunded or partially refunded at your gym over the selected time period.

Default setting - By default all refunded transactions from the current month are displayed.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.

Resolved Failed Payments Report

What does it show - This report shows you all failed orders that have been marked as resolved at your gym over the selected time period.  A failed payment is marked as resolved to remove it from the Failed Payments report perhaps because the user brought you cash for the transaction or the user is never coming back to your gym.

Default setting - By default all resolved transactions from the current month are displayed.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.

Revenue Trend Report

What does it show - This report shows you charts and graphs of your revenue over all transactions. There is a per month membership and non-membership chart per month, per year and then a chart per shop category.

Default setting - Every transactions from all time are used for the graphs and stats displayed on this report.

Options - none.

Sales Tax Payments Report

What does it show - This report shows sales of products that are marked as Taxable.  For this report to be useful, you will need to go thru all your shop products and check the Taxable checkbox for all products that are taxable in your state, city, county, etc.

Default setting - By default all sales of products flagged as Taxable from the current year are displayed.  Also, the default calculated tax rate is 8%.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.  You can also change the tax rate to reflect the laws of your region, say 6.25 or 8.75, etc.

Daily Credit Card Charges Report

What does it show - This report shows you all A day by day breakdown of every processed credit card charge listed per category, per gateway.

Default setting - By default all credit card transactions from the current month are displayed.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.

Bank Reconciliation Report

What does it show - This report shows you all completed transactions at your gym over the selected time period gathered by gateway and date.  The report uses a daily transaction cutoff time which needs to mirror your authorize.net setting.  It can be used to reconcile the single authorize.net daily bank deposit into WODTogether shop categories breakdowns.

Default setting - By default all transactions from the past 14 days are displayed.

Options - You can select any start and end date that you wish.  There are also some helper buttons to quick select various common date ranges such as last month, last quarter, all time, etc.  You can also set your authorize.net settlement hour and minute.
